Why Every Tax Pro Needs a Prompt Repo in 2025
Today's Topic: How to Make a Prompt Repo
Last week we talked about some of the best prompts to use this tax season.
This week we're going over how to store your best prompts and improve them over time using a prompt repo.
A prompt repo is just a place you and your team store prompts.
Beginner AI users re-write prompts from scratch, every time. They don't tweak and improve prompts over time. They end up with worse prompts that produce worse results. Let's change that.
Why use a prompt repo?
- Reduce your time-to-prompt
- Get answers quickly for frequently asked questions (from clients or team)
- Ensure consistency of answers across clients
- More accurate, detailed answers
- Consistency across your team's use of AI
- Save your best prompts for next tax season
- Improve prompts continuously through use
Great prompts aren't easy to type in a flash. They need context, identity, clear instructions, and constant refinement. That's why you need to craft them carefully and save the best ones.
How to make a prompt repo
#1: Start with your chat's memory setting
In most chat tools there's an option to build your chat's memory based on previous prompts. This can help you build up a lot of useful context without entering it into each new prompt.
Don't worry, this doesn't mean your client's data is being shared in re-training. It just means it's stored on the cloud, which is the same as using Taxdome, Kanopy or any other cloud based application with your client's data.
ChatGPT offers this for free - see below - but other ones like Gemini need you to go pro for this feature.
#2: Make a repo page in your team's main communication channel
Make a new page in whatever system you're using with your team - notion, Slack, Google Drive, etc. Make sure everyone has access to it and knows what it's for. Bookmark it.
#3: Add categories
I like to organize my prompts by categories. For example:
- Educating Clients
- Data Analysis
- Forecasting
- Tax Law & Research
- Communications
- Internal Processes
#4: Give each prompt a common format
For example:

Make sure everyone knows where the repo is, how to use it, and is active in refining it. If you need to make some guidelines on when to use AI and when not to use AI, now's the time.
Even if you've got a solid list of prompts that give good results, you can probably still make improvements to great results.
Maybe include your firm's brand voice or style in the prompt. Maybe ask it for multiple types of outputs instead of one to compare. Maybe give it a different identity. There's lots of experimenting to be done. Make sure to listen to your client's feedback and incorporate that into your prompts.
#6: Give the prompt repo to new hires
It'll make your firm stand out like a sunflower in a field of roses, especially for young talent.
Most of my younger friends use ChatGPT already in work. If you not only embrace it but empower them to use it more, I guarantee it will help you attract and retain the kind of talent you want.
